The Engagement
A multi-phase document modernisation programme spanning live project sites, head office, banking partners, and decades of paper-bound HR records.
I.
Documents stuck on the move.
The client operates active project sites across Nigeria, with decades of records — contracts, bills of lading, import documents, bank instructions, and employee files — held largely on paper. Documents had to travel physically between sites, head office, and the bank for review and signature.
Approvals stalled when a signatory was off-site. HR files were spread across boxes and shelves with inconsistent metadata, and disaster recovery for the company's most sensitive records was limited.
The client needed a single source of truth for documents, faster approvals, and a defensible archive — without disrupting day-to-day operations on live construction projects.
Contracts, BoLs, import docs, and bank instructions travelled physically between sites, head office, and the bank — slowing every approval.
When a signatory was off-site, the entire process froze. Live construction projects waited on paper to catch up.
Decades of personnel files spread across boxes and shelves with inconsistent metadata and no clear retrieval path.
The company's most sensitive paper records had limited disaster-recovery — a single incident could erase decades of history.
II.
One platform. Cleaner workflows. Verifiable signatures.
Tecres designed and delivered an end-to-end Electronic Document Management programme on Laserfiche Cloud, integrated with Docusign for legally verifiable e-signatures.
Before deploying any technology, we defined a document control standard and file-naming convention so every department captured records the same way. We then provisioned the cloud repository with Web Access, Mobile, scanning clients, and an audit trail — and built templates and metadata around how the business actually files.
In parallel, our team sorted, indexed, and digitised the client's full HR archive — converting decades of paper into searchable PDFs, refiling originals into labelled barcoded archive boxes, and producing a master index register backed up off-site.
Tech Stack
End-to-end automation of the import / export approval flow — multi-signatory routing through Docusign with executed copies versioned back into Laserfiche automatically.
Bank instructions now route by email for digital signature, with the executed copy landing back in the repository under the correct project metadata — no manual filing.
III.
One platform. Anywhere access. Audit-ready.
The client now operates on a single, secure document platform reachable from any location. Approvals route by email, are signed digitally, and the executed copy lands back in the repository automatically.
HR records are searchable in seconds, with a verifiable master register that doubles as the company's disaster recovery layer. Tecres now provides ongoing support under a defined SLA, and is extending automation into additional departments.
